JOB DESCRIPTION
As a municipal secretary, you play a central role in the municipal decision-making process. You are responsible for supporting the municipal council, the municipal executive committee, and other political bodies by ensuring that meetings are conducted according to applicable legislation and guidelines. This includes, among other things:
- Preparing, coordinating, and following up on matters for the municipal council, municipal executive committee, and committees/subcommittees/preparatory committees.
- Responsible for minute-taking, document management, and record-keeping.
- Ensuring that decision-making processes comply with applicable legislation, including the Local Government Act and the principle of public access to documents.
- Providing administrative support to elected officials and civil servants.
- Responsible for announcements and publication of decisions.
- Participating in the development of the municipality's administrative routines and working methods.
- System administrator responsibility for W3D3 and Meetings Plus.
QUALIFICATIONS
We are looking for someone with a university degree in public administration/law/social sciences or other education deemed equivalent by the employer. You also have experience with similar tasks in a municipal organization. Knowledge of the Local Government Act, Administrative Procedure Act, GDPR, and the Public Access to Information and Secrecy Act is an advantage, as is experience working with document and case management systems like W3D3. Good computer skills in the Office suite are required for the position. You communicate well both in writing and verbally.
You are good at structuring, planning, and prioritizing, and you have the ability to see issues from a broader perspective while remaining calm and composed in various situations. Your attitude is solution-focused and positive. Of course, you enjoy providing excellent service.
